Petition for Exception to Policy

Students may petition the Registrar, with supporting documentation, for an exception to policy if the following apply:

Approved Circumstances

Reason Qualifications Required Documentation
Medical Disability Illness of such severity or duration that completion of the quarter is not possible Health Provider documentation
Death Death of the student or member of the immediate family (parent, spouse/domestic partner, child, sibling) Death certificate, obituary notice or news clipping naming student as relative of the deceased
Call to active US military duty Call to active military duty after the 7th day of the quarter Military orders showing effective date of deployment
New Student This was the first quarter of attendance at South A completed Petition for Exception to Policy
Institutional Error You were incorrectly advised by a South Seattle College  representative A written statement (on official letterhead) or email from the South Seattle College instructor or department explaining how the institution was in error

In all cases, supporting documentation is required. Petitions must be filed by the last day of the quarter following the quarter in which the charge was assessed,excluding summer quarter.  Petitions for Exception to Policy will not be granted for course work that has already been applied to a completed degree. Grades cannot be changed after a degree has been granted. Grades cannot be restored once a Petition for Exception to Policy has been granted.

Petitions for Exception to Policy will be considered on a case-by-case basis. Petitions are reviewed and processed weekly by the Registration Petition Committee after all information and required documentation has been received.

International students should meet with an International Programs staff member to assess any potential F1 Visa violation due to withdrawing from a course.

Financial Aid recipients must print and review the following Financial Aid documents and bring them to the Financial Aid office along with the Petition for Exception to Policy prior to submitting to the Registration Office:

Late Add Petitions

Under exceptional circumstances a Late Add Petition may be approved allowing registration after the 10th day of the quarter (8th day during summer quarter).

You must be in continuous attendance starting before the last day to add/drop courses for the term. The faculty member teaching the course must approve your exceptional circumstances and sign the form. If your Late Add Petition is approved by your faculty member, the associated tuition and fees, including late registration fees, are due on the day the registration is processed.

If you have a funding source for the quarter, e.g. Financial Aid, check with that department before submitting the Late Add Petition to determine if you are responsible for paying tuition and fees.
