Guidelines for Developing Student Club Web sites

Please review these guidelines and with the help of your club advisor outline your plan for the site (purpose of the site, target audience, proposed content).

Make an appointment with the Dean of Student Life to review your plans prior to beginning development. The completed web site must be reviewed by the Dean of Student Life before being published.

Note: Club web sites must meet with all State Ethics and District Server Policies at ALL times. Should these policies not be followed, at a minimum, the club link will be removed from the Student Life web site and the club web site will be removed from the Student Life server.

Development Guidelines


Server Space

Arrangements can be made with the Student Life Web Manager once the club web site has been approved by the Dean of Student Life.

Content Material

  • Provide the club by-laws and constitution
  • Each page should have a footer that includes : "back to the top" link, "contact us" information, (or link to "contact us" page, see suggestions below) , and the following disclaimer that has been appropriately completed:
    This site has been developed for and is maintained by the xxx Club and is not an official publication of South Seattle Community College. If you have questions or concerns about the content, please contact us.
  • For security and privacy reasons, sensitive information such as social security numbers, credit card information, or home addresses may NOT be displayed on the site. No web-based form, or other vehicle for requesting this information from site visitors, may be set up or used on the site.
  • Club fundraiser's may be promoted on the site, but purchase of items such as tickets may not be made via any web-based service. (Refer to the Club Handbook available in the Student Life Department for policies related to management of money.)
  • Do NOT use any content material that is available on the official SSCC web site, in the printed quarterly schedule, in a brochure created by the college or in the catalog printed every other year by the District.
  • If you wish to include any material found on the SSCC web site or the District web site (calendar, maps and directions, specific course information etc.), create a link to the appropriate pages, DO NOT copy and paste the material into your site. .
  • If you have any questions about content material, contact the college Web Manager

Use of Photos

If you use photos of identifiable people on your web site, YOU MUST have them sign a Model Release (PDF). Once the form is completed, please give it to someone in the Student Life Office where the form will be retained.

Contact Information

Contact information must be included in the footer on every page of the web site. Consider creating a "contact us" page with appropriate information ( for example: names of officers with email, club advisor name and email and contact information for the Dean of Student Life.) At the bottom of each page include a "contact us" link to this page. This system allows ease of maintenance.

I encourage you to use the tool at this web site to encode email prior to including on web pages www.wbwip.com/wbw/emailencoder.html. (Encoding is the process of turning letters and numbers into ASCII code. Ultimately, encoding email helps prevent additional SPAM. You can see an example of an encoded email address in the footer code of the template.)

Maintenance

You are strongly urged to limit required updates. The site owner will be responsible for site maintenance. Links for club sites with outdated content may be removed from the Student Life web site at the discretion of the Dean of Student Life.

Responsible Parties

Prior to linking a club site to the Student Life web site, the Dean of Student Life must have on file the name, email address and phone number of the club advisor and the individual(s) who maintain the site.
